Resolving the Outlook maximum size error message

How to resolve the error message "mail@scu.edu.au.ost has reached the maximum size. To reduce the amount of data in this file, permanently delete some items that you no longer need"

 

Why am I receiving this message?

Offline Storage Table (OST) is a replica of the mailbox(s) on the server. The file is stored on the system locally and is synchronized with the mailbox on the server. With continuous sending/receiving of new messages and other items, the OST file size gradually grows. 

 

Step 1:

  • Open Outlook app

  • Right-click on your email "email@scu.edu.au"

  • Click on Data file properties


 

Step 2:
          • Click on General tab
          • Click on Advanced
          • Click on Advanced tab again
          • Click on Outlook Data File Settings
          • Click on Compact Now, then click ok

Step 3:

        • Uncheck the option "Use Cached Exchange Mode" 
        • Click on Apply and Ok
        • Close and reopen your outlook for the effects

This option will stop the server download and prevent your Outlook app from becoming overloaded.
